What we collect
When you send an enquiry through our website, we collect the information you choose to give us:
- your name, company name, phone number and email address;
- project details, such as location, project type, scope, start date and a description of the works;
- any files you upload, such as drawings, specifications, schedules or photographs.
If you call, WhatsApp or email us, we receive your phone number or email address and whatever you tell us in that conversation.
Please don't include sensitive personal information in your enquiry or uploaded files. Drawings and photos should only show what's needed to price the works.
How we use it
- to respond to your enquiry and prepare a price or quote;
- to discuss, plan and carry out the works if you go ahead;
- to keep records we're required to keep by law, for example for tax and accounting.
We don't sell your information, and we don't use it for marketing unless you've asked us to keep in touch.
Our lawful basis
We use your information because you've asked us to provide a price or services, which means taking steps before entering into a contract with you or your company. We also rely on our legitimate interests in responding to business enquiries and running our business. Where we keep records for tax or legal reasons, we do so to meet a legal obligation.
Who handles your information
We use trusted service providers to run the website and handle enquiries. They only process your information on our instructions:
| Provider | What they do |
|---|---|
| Cloudflare | Hosts the website, processes enquiry form submissions and securely stores uploaded files. |
| Resend | Delivers enquiry notification emails to us. |
| Our email providers | Store and deliver the emails we send and receive. |
| Google Fonts | Supplies the fonts used on the website. Your browser connects to Google to load them, which shares your IP address with Google. |
| postcodes.io | If you use the postcode checker on our coverage map, the postcode you enter may be sent to this service to find its location. We don't store postcodes entered in the checker. |
Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved for UK data protection, such as standard contractual clauses.
If you become a customer, we may share relevant details with people working on your project, such as our operatives, and with our accountants or professional advisers where needed.
How long we keep it
- Enquiries that don't go ahead: we keep your enquiry and any uploaded files for up to 12 months, in case you come back to us, and then delete them.
- Projects we carry out: we keep project and financial records for up to 6 years after the work is finished, as required for tax and legal purposes.
You can ask us to delete your enquiry and files sooner at any time.
Cookies
Our website does not use cookies for tracking or advertising. Your browser may store small amounts of information locally to make the site work, for example while you fill in the form.
Keeping your information secure
Uploaded files are stored privately and are not publicly accessible. Access to enquiries and files is limited to the people who need it to respond to you.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong or incomplete;
- ask us to delete your information;
- object to or ask us to restrict how we use it;
- ask for your information in a portable format, where this applies.
To use any of these rights, email enquiries@tapenjointers.co.uk or call 07311 005800. We'll respond within one month.
Complaints
If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
